How it works
Seller, buyer, delivery
Enter both parties and, if the goods go elsewhere, the delivery address. GSTINs make the buyer's approval easier.
Items and tax
Line items with HSN/SAC, quantity, rate and GST rate. The breakup is shown so the buyer sees the full payable.
Validity and payment
Set the validity date and the payment terms. Print / Save PDF gives a clean document with the Section 31 disclaimer.
When a proforma invoice is the right document
A proforma invoice is a commitment to supply at a stated price, issued before the supply to collect an advance, obtain the buyer's purchase approval, or support a letter of credit or import permit. It is not a tax invoice under Section 31 of the CGST Act: no output tax is payable on it, the buyer cannot claim input tax credit on it, and it does not appear in GSTR-1. The tax invoice follows when the goods or services are actually supplied.
Advance received?
GST on an advance for goods is not payable on receipt (Notification 66/2017), but on services it is. Issue a receipt voucher for the advance either way.
Export orders
Banks and customs ask for a proforma to open an LC or register an import. Show the currency and Incoterms in the notes.
Numbering
Keep a separate PI series from your tax invoices so the two never get confused in an audit.
Convert, do not duplicate
When you supply, raise the tax invoice referencing the PI number; do not reuse the PI as the invoice.
