How it works
Fill the two parties
Your business and the customer. GSTIN and state are optional on a quotation but help the customer compare with the eventual invoice.
Add line items
Description, HSN/SAC, quantity, rate and the GST rate per line. Choose CGST+SGST for a customer in your state, IGST for another state.
Print or save
The preview is the document. Print / Save PDF captures only the quotation, with the amount in words and your signature block.
A quotation is an offer, not an invoice
A quotation commits you to a price for the validity period and nothing more: no GST liability arises and the customer cannot claim credit on it. Showing the GST breakup anyway is good practice, because it stops the 'but you quoted ₹10,000' conversation when the invoice says ₹11,800. Once accepted, the quotation number goes on the purchase order and the invoice.
Validity date
Thirty days is the convention. After it, prices are open to revision and the customer knows to ask for a fresh quote.
GST shown, not charged
The breakup is informative. Tax is charged only on the tax invoice issued at the time of supply.
Terms travel with the price
Advance, delivery, warranty and jurisdiction belong on the quotation so they are agreed before the order.
Numbering
Keep one running series per financial year, e.g. QT-2026-0001. Reference it on the PO and the invoice.
